HVAC missed call text back sends an automatic text from your business number within about a minute of any call you could not answer. It asks what is wrong, flags no-cooling and safety calls for a person, and offers real open times. It matters most on the hottest days, when every tech is in an attic.
This is the HVAC version. For the basics that apply to any trade, read missed call text back: how it works. For what we build, see our AI receptionist page.
Why do HVAC companies miss so many calls?
HVAC calls arrive in waves. The first hot week, a storm or a stretch of record heat sends everyone to the phone at once, while every tech is already booked. A small office cannot answer three lines at the same time, so calls ring out exactly when demand is highest.
Cooling is not optional where you work. The US Energy Information Administration found that 88% of US households used air conditioning in 2020, and 93% in the South. When it fails in a Houston summer, people keep dialing until someone answers.
What they do next is the problem. In a CallRail survey of 1,000 US consumers, 21% said they immediately call another business when nobody picks up. A text that lands in the first minute gives them a reason to wait for you.
How does missed call text back work for an HVAC company?
It turns an unanswered ring into a short text conversation that ends in a booked visit or a hand-off to a person. The whole thing takes a few minutes, and nobody on your team has to stop working for it.
- A call rings out. Your tech is on a roof and the office line is busy.
- A text goes out from your number within a minute. It names your company and says it is automated.
- It asks one question. Not cooling, not heating, a strange noise, or something else?
- Safety words go to a person. Gas smell, smoke or a carbon monoxide alarm get an instant alert and safety instructions, never a booking link.
- It offers two real windows from your calendar, or the next opening if today is full.
- The job lands on your board with the address, the problem and the whole thread.
Steps 4 and 5 are the difference between a useful system and an annoying auto-reply.
What should the first text say?
Keep it short, honest and specific. Name the business, say it is automated, ask one question and tell people how to stop texts. Here are three examples for a made-up company. They are examples, not client messages.
Daytime:
Hi, this is the automated assistant for Example Air. Sorry we missed your call. Is your system not cooling, not heating, or something else? Reply STOP to stop texts.
After hours:
Hi, this is Example Air's automated assistant. Our office is closed, but we can book you for the morning. What's going on with your system? If you smell gas, leave the house and call 911.
Heat wave, schedule full:
Hi, this is Example Air's automated assistant. We're booked solid today. Our next opening is tomorrow 8 to 10 AM. Want it? Reply STOP to stop texts.
Do not quote repair prices by text. A wrong number costs you more than a slow one. If you charge a set diagnostic fee, it is fine to state it.
Which HVAC calls should go straight to a person?
Some messages should never wait in a booking flow. Write these rules down before you turn the system on, and test each one.
- Gas smell, smoke, sparks or a carbon monoxide alarm. Tell the customer to leave the home and call 911 or the gas company from outside, then alert your on-call tech.
- Someone at risk in the heat, like a baby, an older person or someone sick in a house with no cooling. Put it at the top of the list.
- Price disputes, warranty claims and upset customers. A person handles these.
- Commercial accounts with service contracts. Route them to whoever owns the account.
What does HVAC text-back cost?
You can rent a tool, use what your current software has, or have it built. Prices below are from each vendor's page, as listed on October 20, 2026.
| Option | What it lists | The catch |
|---|---|---|
| Aira AI receptionist | $24.95 a month for 30 calls, up to $299 for 600 calls | Answers calls with AI; texting and booking are not listed on its pricing page |
| HighLevel | $97 a month Starter, $297 Unlimited | Texts and calls are billed on top by usage, and someone has to build the flows |
| Your field-service software | Jobber lists two-way texting from its Grow plan, $199 a month for 1 user | Check whether it texts missed calls on its own |
| Phone auto-reply | Often free | One fixed message, no booking, no safety rules |
| Built for you | Priced on a free call, flat and in writing | You own it, but the monthly cost may be higher than a basic tool |
If a basic tool does what you need, use it. We will tell you that on the call.
What has to be set up before the first text goes out?
Two things: a number registered for business texting, and a STOP that works every time. Skip either one and your texts get filtered, or you take on legal risk.
Registration. Twilio's A2P 10DLC documentation says anyone sending application texts to US numbers from a regular 10-digit number must register. You register a brand, which says who you are, and a campaign, which says how people opt in, opt out and get help. Unregistered traffic pays extra carrier fees and gets filtered more.
STOP. Under FCC rules, replies like "stop," "quit," "cancel" or "unsubscribe" count as taking back consent, and the request has to be honored within 10 business days at most, according to a Kelley Drye summary. We stop the moment someone says stop. This is not legal advice, so check your setup with a lawyer.
How do you know it is working?
Track five numbers each week. A spreadsheet is enough at first.
- Missed calls.
- Texts sent. This should match missed calls.
- Replies.
- Jobs booked from those replies.
- How many of those booked within an hour.
Read ten real threads a week for the first month. If replies are low, the first text is too long. If replies are fine but bookings are low, look at the times you offer. Before peak season, test it yourself: call your own line, let it ring out and see what arrives.
When is text-back not enough?
Text-back recovers a missed call. It does not answer one. If a dispatcher picks up in three rings all day, you may not need it. On peak days some owners still add a live answering service for overflow, and we compare both in AI receptionist vs answering service. And a text cannot add techs. When you are full, the honest move is to say when the next opening is.
Once missed calls are handled, your steadiest work comes from customers you already have. Read HVAC maintenance agreement reminders to book every tune-up.
Where to go from here
Book a free call. In 15 to 30 minutes we look at how calls reach you on a normal day and on a heat-wave day. If we build it, you get one flat price in writing before any work starts, and you own what we build.
