What a team portal is

A team portal is a private page where your crew and office find today's jobs, the checklist for each one, photos, hours and how-tos. An AI helper can answer questions from your own notes. It replaces the group text and the binder, so people stop asking you the same question every morning.

Group texts, a field app or a team portal?

Group texts are fast but bury answers, and paper forms go missing. Ready-made field apps are strong at scheduling and dispatch and usually charge per user, but they may not match your checklists. A team portal is built around how your crew already works, with your forms and how-tos, for a build and a monthly price.

Are team portals right for your business?

They fit when you have a crew and answer the same questions every day. If it is just you, you probably do not need one yet.

Signs it fits

  • You answer the same questions every morning.
  • Checklists and forms live on paper that gets lost.
  • Job details travel by group text.
  • New hires take long to learn how you do things.

Questions owners ask

What is the AI helper?

A chat box in the team portal that answers from the how-tos, prices and policies you give it. If the answer is not in your notes, it says so and points to a person.

Will my team need training?

A short walkthrough at launch. It is built around how your team already works, so there is less to learn.

Can it replace our paper forms?

Usually, yes. Inspection sheets, job checklists, waivers and intake forms can be filled in on a phone and saved on the job.

What does a team portal cost?

Every build is priced on a free 15 to 30 minute call, after we see what it needs to do and connect to. You get one flat price in writing before any work starts, and you own what we build.

Who keeps the how-tos up to date?

You or whoever you choose, from a simple screen. We load the first version with you. When a price, a policy or a step changes, edit the note and the AI helper answers from the new version.

Can my crew use it on their phones in the field?

Yes. It opens in the browser on a phone, with no app store download. Photos, ticked checklists and notes save to the job as they work. We test it on the phones your team actually carries.

Can I see who did what on a job?

Yes. Sign-offs, photos and notes are saved on the job with the person and the time. That helps with callbacks and training. What you track beyond that, like hours, is your choice and goes in the scope.

How long does it take to build?

Small jobs take a day or two, bigger ones a week or two. It depends on how many job types and forms we set up, and the dates go in the written scope. You can add more job types after launch.
