AI implementation and custom software for Houston small businesses
We put AI to work in your business and build the software around it: a custom CRM, booking, AI text-back for missed calls, an owner dashboard and the automations that tie them together. One flat price before we start, and you own everything we build.

01What we build
Four things we build
We build four kinds of systems for small businesses: a custom CRM, an owner dashboard, AI text-back with missed-call follow-up and booking, and automations that move information between your tools. You can start with one. Each build sits inside $1,000 to $5,000, one time, and the first one is live in about 2 weeks.
- 01
Custom CRM
Replaces the spreadsheet one person keeps, the inbox doing a CRM's job and the texts stuck on someone's own phone. You get one place for every lead and customer, a pipeline with your own stages, a next step and a reminder on every lead, and booked calls sitting on the record they belong to.
- 02
Owner dashboard
Replaces the Monday report someone builds by hand, and logging into five tools to see one week. You get one screen with the numbers you actually check: new leads, calls booked, follow-ups due, jobs open and leads going quiet, read straight from the tools you already use.
- 03
AI text-back, missed-call follow-up and booking
Replaces the missed call nobody calls back and the web form that waits until someone checks the inbox. You get a reply from your own business number, an answer drafted by AI for you to approve, and real open times from your calendar so the customer can book without a phone call.
- 04
Automations
Replaces copying the same details from a form into the CRM, the calendar and an email. You get the busywork done for you: new leads filed with where they came from, an alert on your phone when one lands, reminders before appointments and follow-ups queued on the dates you set.
02Custom CRM and owner dashboard
The custom CRM and the owner dashboard, up close
A custom CRM is your customer list and pipeline, built around how you already sell instead of how a software company thinks you should. The owner dashboard is its front page: what is due today and how the week looks. Elevate runs on a CRM we built, so we build yours from parts we use every day.
Here is what a CRM build usually starts from. Your business changes the list, and the written scope spells out every part before work starts.
- Every lead in one place. Forms on your site, booking requests and missed calls land in the CRM on their own, with where each lead came from: the page, the ad, what they asked for. Nobody re-types anything.
- Stages that match your work. A pipeline with your own stages, from new lead to won or lost, and a next step with a date on every lead. Not a vendor's default setup that your team has to bend around.
- Reminders that do not depend on memory. The next step on each lead fires a reminder whether or not anyone remembers it. The lead that would have gone cold in someone's inbox shows up on today's list instead.
- Your calendar connected. A booked call lands on your calendar and on the customer's record at the same moment, so you walk into every appointment knowing who it is and what they asked.
- Payments next to the conversation. Payment links go out from the customer's record, so the money sits next to the talk that led to it.
- Roles for your team. Owner, admin and team views, so each person sees what their job needs. Payments and revenue can stay on a screen only the owner opens.
- The dashboard on top. The first screen lists who is due a follow-up, the next booked calls and the leads going quiet, with the pipeline numbers underneath. It reads straight from the CRM, so the numbers are current when you look.
- Works on your phone. It runs in a web browser, so there is nothing to install, and the screens you use between jobs are laid out for a small screen.
03AI text-back and automations
AI text-back, missed-call follow-up and booking
When you miss a call or a form comes in after hours, the system starts the reply for you. It drafts a text from your own business number, offers real open times from your calendar and files the lead in your CRM. Every message type starts in approval mode, so nothing goes out until you say so.
Here is how a missed call plays out in a typical build. Your scope sets the exact steps and the wording.
Want to see one? The reNEW AI receptionist case walks through an example conversation, and the booking page on this site reads a real calendar the same way.
- The missed call lands on a list. The caller's number and the time go into your CRM as a new lead, so it sits on a list someone works, not in a call log nobody opens.
- A text goes back from your number. For people who opted in to texts, the reply comes from your own registered business number, so they see your business name, not a stranger's number.
- AI drafts the answer. When the customer writes back, AI drafts a reply from the facts you gave us. You approve it or edit it from your phone, and you switch a message type to automatic only when you trust it.
- They book a real time. The customer picks from real open times on your calendar, and the booking lands on the calendar and on their record at once.
- Reminders and follow-ups. Reminders before the appointment, and follow-ups to leads who went quiet, queued on the dates you choose. A lead who books drops out of the follow-up on its own.
- The busywork, automated. New leads filed with their source, an alert to you when one comes in, and the same details copied into your calendar and email so nobody types them twice.
04You own it
You own it
You own everything we build. The code, the data and the accounts it runs on are in your name, not ours. Adding a person to your team does not change what you pay us, and if we ever part ways, the system stays with you. Ownership is written into the scope before any work starts.
A lot of business software is rented. You pay every month, your customer list sits in someone else's account, and when you stop paying, the system stops too. We build the other way around.
The code is yours. It lives in an account you control. Any developer you hire later can read it, change it or add to it, with or without us.
The data is yours. Every customer, message and booking sits in a database in your business's name. Your customer list never belongs to a vendor.
The accounts are yours. Hosting, the texting line, the AI service and any paid tool it connects to are set up in your business's name and billed to you directly.
If any of our own ready-made parts are inside your build, you get a permanent license to keep using them in your business. That is written down before work starts, like everything else.
05Rent or own
Renting a tool versus owning a build
Renting is often the cheaper way to start, and the bill never stops. AI receptionist tools on the Houston search run $24.95 to $300 a month, and the custom CRM cost guides that rank for this search quote $10,000 to $60,000 to build one. Our builds are $1,000 to $5,000, one time, and you own them.
Both numbers come from what shows up when a Houston owner searches for these tools, not from us. Renting still wins sometimes, and the section further down says when.
Renting a receptionist tool or a per-seat CRM
- A monthly bill for as long as you use it. Receptionist tools on the Houston search run $24.95 to $300 a month.
- Per-seat CRMs charge for each person you add, so the bill grows with your team.
- Your customer list lives in their account, on their terms.
- It works the way the vendor built it, and your team adapts to the tool.
- Stop paying and it stops working.
Owning a build from us
- One flat price, $1,000 to $5,000, agreed in writing before work starts.
- No per-seat fee to us. Add people and what you pay us stays the same.
- The code, the data and the accounts are in your name.
- Built around how you already work, and wired into your own CRM and calendar.
- Running costs, like AI usage or a texting line, are billed to your own accounts.
06You see everything
You see everything it does, and a person decides
Every message the system sends or receives is saved on the customer's record as a full transcript, so you can read exactly what was said and when. AI drafts, sorts and books. A person decides. Replies start in approval mode, and the questions that need judgment always come to you.
Nothing happens out of sight. Open any lead and you see the whole thread: the first text, every reply, the booking and any note your team added. If a customer says the system told them something, you can check it in seconds.
Approval mode is how every build starts. Each type of message, like the first reply or a reminder, waits for your OK until you switch that type to automatic. You can switch the simple ones and keep the rest on approval for as long as you like.
What the AI handles
- Drafting replies from the facts you give us, for you to approve or edit.
- Sorting new leads and filing them with where they came from.
- Offering real open times and booking them on your calendar.
- Queuing reminders and follow-ups on the dates you set.
What always goes to a person
- Price questions.
- Complaints.
- Legal questions.
- Anyone who asks "is this a bot?"
- Any message type you have not switched to automatic.
07Texting rules
Texting with consent, and STOP always works
Texts go out only from your business's own registered number, and only to people who opted in to hear from you. If anyone replies STOP, they are stopped on every channel, not only text. We set this up in every build that sends texts, because a texting line in trouble hurts your business.
Here is what that means day to day.
- Your number, registered in your name. Phone carriers ask businesses to register the number they text from. The line and its registration belong to you, and so does the history of every text.
- Opted in first. Texts only go to people who agreed to hear from you, like a customer who checked the box on your form or booked through your page.
- STOP means stop, everywhere. A customer who replies STOP is taken off texts, email and every other channel the system uses, right away.
- Until the line is ready. Registering a texting line can take time. Until yours is approved, follow-up can run on email so leads still hear back.
- Every text on the record. Each text in and out is saved on the customer's record, so you can see who agreed, what they were sent and when they said stop.
08The honest part
When an off-the-shelf tool is enough
Sometimes you do not need us to build anything. If a ready-made CRM or receptionist tool fits how you already work, and someone on your team will keep it updated, buy that and keep the money. We will tell you so on the free call. A build makes sense when the tools do not fit.
An off-the-shelf tool is enough when
- Your process looks like the tool's default setup.
- Callers mostly want your hours, your location or an open time.
- Someone on your team will set it up and keep it current.
- A monthly bill that grows with each person you add is fine for now.
- You are a small team with simple needs.
A build from us makes sense when
- The way you sell or schedule does not fit a standard pipeline.
- Your team already stopped using a CRM because it never matched the work.
- Leads come in from several places and need to land in one list.
- You want every call, text and booking in your own records, with a person approving what goes out.
- You would rather pay once and own it.
09How it works
How a build runs, from free call to launch
Five steps: a free 30-minute call, a written scope with a flat price, a build you watch come together, launch, and then it is yours. Your first system is live in about 2 weeks. Bigger builds take longer, and the dates go in the written scope so you know them before you say yes.
A free 30-minute call
Bring how a lead reaches you today and the one thing you would fix first. Justin asks how the work runs and tells you what we would build, or whether a ready-made tool would do the job.
A written scope with a flat price
What we build, what it connects to, the dates and one flat price, in writing before any work starts. Running costs are listed too, with who pays them.
The build, where you see it come together
You watch it take shape on a link you can open on your phone, not only at the end. You try it with real examples from your business and tell us what to change.
Launch
It goes live on your number, your calendar and your accounts. Messages start in approval mode, and we walk you through approving them from your phone.
You own it
Once it is paid for, the code, the data and the accounts are yours. Changes later are scoped and priced in writing first, the same way as the build.
10Your part
What we need from you
Not much, and most of it comes up on the first call. We need to see how a customer reaches you today, access to the tools the system connects to, the facts the AI may draft from, and a little of your time each week during the build to check it and answer questions.
- How a lead reaches you today. Walk us through it: the call, the form, the text, who answers and what happens next.
- Access to your tools. Invites to the calendar, email, phone line and any software the build connects to, all in your business's name.
- The facts the AI may use. Your services, hours, service area and the answers you give every day. The AI drafts from these, and you approve what goes out.
- Your records, if you have them. A spreadsheet or an export from your current tool, so your customers move over with you. What comes across is written into the scope.
- Your wording. How you greet people, what you never say, and when you would rather call than text.
- Quick answers along the way. Short check-ins during the build, so it ends up matching how you actually work.
11Price
What a build costs
Each build is $1,000 to $5,000, one time. Where yours lands depends on what it does and what it connects to. The flat price is set in writing after the free call, before any work starts. Running costs like AI usage or a texting line are billed straight to your own accounts.

Questions
Questions about AI and custom software
How much does a custom CRM or AI system cost?
Each build is $1,000 to $5,000, one time. Where yours lands depends on what it does and how many tools it connects to. Justin sets the flat price after a free 30-minute call, and you get it in writing before any work starts. There are no per-seat fees to us, so adding people to your team does not change what you pay.
Are there monthly costs after the build?
Only what the system itself uses, billed to your own accounts. That usually means AI usage, a texting line in your business's name and hosting. Each one is listed in the written scope with what drives the cost and who pays it, so you see it before you approve anything. If you want changes later, they are scoped and priced in writing first.
Who owns the system once it is built?
You do. Once it is paid for, the code, the data and the accounts it runs on are in your name, and any developer can work on it later. If any of our own ready-made parts are inside it, you get a permanent license to keep using them in your business. Ownership is written into the scope before work starts.
What happens if we stop working with you?
The system stays with you. The code, the customer records and the accounts are already yours, so nothing has to be handed back or switched off. Hosting, the texting line and the AI service are billed to you directly, so they keep running for as long as you keep those accounts. Another developer can pick it up from there.
Does the AI talk to my customers without me?
Not until you say so. Every message type starts in approval mode: the AI drafts, and you approve or edit from your phone. You switch a type to automatic only when you trust it. Price questions, complaints, legal questions and anyone asking whether it is a bot always go to a person, and every message is saved as a full transcript.
What tools does it connect to?
The ones you already use, like your calendar, email, phone line, payment links and the software you run jobs in. On the call, Justin asks where each piece of information lives today. Exactly what it connects to is written into the scope before work starts. Texts go out only from your own registered business number, to people who opted in.
How long does it take?
Your first system is live in about 2 weeks. A bigger build, or one that connects to several tools, takes longer. Either way, the dates go in the written scope with the price, so you know them before you approve anything. If you are working toward a busy season or a new hire, bring that date to the call.
Do you work hourly?
No. Every build has one flat price, agreed in writing before work starts, so the bill does not grow while we work. If you want something added later, it is scoped and priced the same way, in writing first. You always know what something costs before you say yes to it.
Where do you work?
We are one Houston team and work with small businesses in Houston and about 50 minutes around it. Justin is the person you talk to, from the first call to launch. You watch the build come together on a link you can open on your phone, so you can check progress between jobs.
