Move jobs, photos and checklists out of the crew group text and into one app where each job has its own thread. Free options exist: Connecteam lists a free plan for up to 10 users, and Slack has a free plan. Many field-service tools include a crew app too. Roll it out over two weeks, one thing at a time.
Prices below are from each vendor's own page, as listed on October 21, 2026.
Why do group texts break as a crew grows?
A group text works for three people and one job. Past that, everything lands in one long thread with no order. Photos scroll away, nobody can find the gate code from Tuesday, and every question goes to the owner.
- No job context. Messages about five jobs mix in one stream.
- Photos get lost, on personal phones, never on the customer's record.
- New hires start blind, with no history and no how-tos.
- The owner becomes the switchboard, answering the same questions every morning.
- Messages at all hours, because a text never knows when someone is off.
What should move out of the group text?
Not everything at once. Move the things people search for later, and keep quick chatter wherever the crew likes it.
| Today in the group text | Where it should live |
|---|---|
| Tomorrow's schedule | A schedule each person sees for themselves |
| Job address, gate codes, notes | The job, in one place |
| Before and after photos | The job record, not a camera roll |
| "How do we do this again?" | A how-to page, or an assistant that answers from your how-tos |
| Hours and time off | A clock-in and a request form |
| Safety alerts and emergencies | A call, and a short group alert |
What are the options, and what do they cost?
You have four real choices, from free to built for you.
| Option | What it lists | Good for |
|---|---|---|
| The crew app in your field-service tool, if it has one | Part of your current plan | Shops already on a field-service tool; check what it includes before buying anything |
| Slack | Free plan keeps 90 days of messages; Pro is $8.75 per user a month, or $7.25 billed yearly | Channels per job or per crew, searchable history |
| Connecteam | Free for up to 10 users; paid plans from $29 to $35 a month for the first 30 users, depending on billing | Schedules, chat, checklists and time clock in one app |
| A team portal built for you | Priced on a free call | Checklists, photos and how-tos on your own job records |
If your field-service tool already has a crew app, use it first. Fewer apps beat more features.
How do you roll it out without losing the crew?
Two weeks, one change at a time, with the owner going first. A new app fails when it feels like extra work. It sticks when the thing people need every day only lives there.
- Day 1: Set up the app, add everyone, and post tomorrow's schedule only in the app.
- Days 2 to 4: Job notes and gate codes move to each job. Answer questions in the app, not by text.
- Days 5 to 7: Photos go to the job. Show the crew where to find them.
- Week 2: Add one checklist for your most common job.
- Day 14: Keep the group text for emergencies only.
Ask two crew leads to try it a week early. If they like it, the rest follow.
What rules should come with the new app?
Write down four or five plain rules and post them in the app on day one. Rules make the app feel calmer than the group text, not stricter.
- Quiet hours: no routine messages after a set time.
- Every job gets before and after photos in the app.
- Customer details stay in the app, not in personal texts.
- Questions go in the job's thread, so the answer helps the next person.
- Emergencies are a phone call, always.
What about texting while driving?
Make it a written rule: nobody is expected to read or answer messages on the road. TxDOT says it has been illegal in Texas since September 1, 2017 to read, write or send a text while driving, with fines up to $200, and that distracted driving caused 86,384 crashes on Texas roads in 2025.
- Send tomorrow's plan the night before, so nobody checks it while driving.
- Urgent changes go by phone call to the crew lead, who pulls over or has a passenger answer.
- Turn off notifications for routine chat during drive times if your app allows it.
When does a team portal built for you make sense?
When the crew app inside your tools does not hold what your crew needs, or when you want checklists, photos, hours and how-tos tied to your own job records. A built portal can also answer common crew questions from your own how-tos, so the morning questions stop reaching your phone.
- Checklists by job type, with photos required at the right steps.
- Photos saved straight to the customer's record.
- Clock-in and clock-out, if you want it.
- An assistant that answers from your own how-tos.
- Paper forms your office uses now, made digital.

Custom vs rented vs doing it yourself
| Rented team app | Built for you | Doing it yourself | |
|---|---|---|---|
| Setup | An afternoon | A build, priced on a free call | Nothing new |
| Monthly cost | Free to per user, depending on the app | A flat monthly plan, no per-seat fee | Free |
| Fits your jobs | General tools you adapt | Your checklists, your words, your job records | One long thread |
| Photos | In the app | On the customer's record | On personal phones |
| Best for | Most small crews | Crews whose work needs checklists and records | Two or three people |
